How Do I set up a conference call?

  1. You do not need to schedule a conference call. Our service is available 24 hours a day, 7 days a week. Simply open an account on line or call our toll-free number (800) 906-4290 x3 to set up a conference account.
  2. We will send you an email with a permanent dial-in number and a Conference Security Code.
  3. Let your participants know the conference date, time, dial-in number and the Conference Security Code.
  4. A reservation is never needed. When you dial in and enter your Conference Security Code (or Leader PIN Code if you opt for one) and your conference call will begin.

How long does it take to get a conference call set up?
Please allow 1 business day to set up your account. We can usually set up an account in two hours if you call during our normal business hours (Monday - Friday 8:30 AM - 8:30 PM Eastern time). Call us us toll free at (800 906-4290 x3) or click here to sign up online [add link here].

How do you charge for conference calling?
We charge a simple per minute rate; you pay only for time used. There are never any monthly fees, setup fees, contracts or hidden costs. Send us a recent bill from your current provider and we will show you how much you can save with Summit Conference.

I need only one or two calls then will not need the service again. Can I still sign up?
Yes you can, You will pay only for the time you use and you can cancel your service either by calling us toll-free at (800 906-4290 x3) or by e-mailing us at: Sales@summitconference.com.

Is there a setup &/or a cancellation fee?
No. There is never a fee to sign up or cancel your account with Summit Conference Service.

How do I pay for my conference calls?Can I get Summit Conference Service to bill my firm each month instead of charging my credit card?
We accept Visa, MasterCard and American Express and corporate checks for monthly payments. We can invoice for our services following a formal credit evaluation.

How do you calculate my bill?
After the end of each month, if you have made conference calls in the previous month, we calculate the total minutes used multiplied by your per minute conference call rate top reach the total due to Summit. Depending on the type of your organization, state and federal telecommunications taxes may be added.

Can I set up my account online?

I need to make a call this month and then not again for 60 days. Do I need to set up another account for that call?
No. Your Summit conference account will remain active until you notify us. You can cancel your service either by calling us toll-free at (800 906-4290 x3) or by e-mailing us at: Sales@summitconference.com.

What is your Customer Network Guarantee?
Customer Network Guarantee
Everyday our network handles more than 1000 calls. We use the industry’s leading conferencing equipment to insure a reliable, easy to use, conference call every time. If your conference call is not completely successful we will cheerfully refund of the cost of the conference.

Can I have more than one conference call going at the same time on my account?
Yes, but you will need to set up a separate set of conference security codes for each concurrent conference call. There is no additional charge to set up additional sets.

What features are available for individual participants on a conference call?

  • (*3) - Start/Stop Recording Playback. You must have the Recording ID to utilize this feature.
  • (*6) - Mute my line. Participants will continue to hear the conference call and will not be heard by others on the call. Press *6 again to un-mute your own line. People with noisy cell phones and or lots of background noise will appreciate this feature.

What features are available for the conference call Leader?

  • (*2) - Record the call. Press *2 to begin recording the call for future replay. Press *2 again to end recording.
  • (*4) - Balance the volume on all lines on a call.
  • (*5) - Presentation/Lecture Mode (group mute). Everyone will hear the Leader, but not the participants. Press *5 again to open all lines.
  • (*6) - Mute my line. Press *6 again to un-mute your own line.
  • (*7) - Lock the call. Prevent additional callers from joining the call. Press *7 again to unlock the call.

Can I record a conference call and have people listen to it later?
Yes, if you have both a Conference Security Code and a Leader PIN on your conference account. During your conference call, the Leader can press *2 to begin recording the call and *2 again to stop recording. (NOTE: Recorded conference calls will be retained for a minimum of 30 days. If the recording is important to retain for longer, you may want to ask us to transfer it to a CD.)

Can I get a CD of my conference call?
Yes. It is easy to take advantage of this optional service from Summit Conference Service. Record the call as described above and then notify us within 30 days of the conference date at (800 906-4290 x3) or via email. Tell us the date and time of the recording, the recording number and the approximate length of the call. We will transfer the recording to a CD ($49.00 plus shipping) in the file format you choose (.wav or CD audio). If you want to put your conference call on your Web site, we recommend using a .wav file.

How many people can I have on my conference call?
Depending on the type of service you choose, you can have as many people as you wish on a conference call. (The default is 50). Let us know at conference account setup time how many callers you expect on your calls. It is a good idea to have participants in the same building meet in a conference room to share a line using a speakerphone. This will allow for even more participants on your call. If you need more than 50 lines, please contact our Sales department at: (800 906-4290 x3).

Is it possible to have an operator assist our call?
Yes. Operator-assisted calls must be scheduled in advance. Summit conference calls can be attended by a Summit Operator. That means operators can greet participants, conduct Q&A sessions, and monitor the call. Call us at (800 906-4290 x3) for more information.

Does each caller need an access code or just the Leader? Do I need two access codes?
When you receive your confirmation from Summit Conference, it will include your own permanent Dial-in Number and one conference security code to access your conference calls. Give the Conference Security Code to each of your meeting attendees along with the Dial-in Number. Adding a Leader PIN to your account is optional and it can be used only by you, as the leader, to access Leader-only functions such as group mute. If you have only 1 access code for all participants, the conference call will start when the 2nd participant enters the call.

Do I have to make a reservation for my conference call?
Only for Operated-assisted conferences. There is no need to make a reservation for regular conference calls. Your service is available for conference calls 24 hours a day, 7 days a week. You do not need to let us know when you are planning to have a conference call.

I have international participants in my conference call. How do they get into my call?
International callers can dial into your conference call by using the Toll Dial-in Number instead of the toll-free Dial-In Number. International participants will pay their own long distance charges, as your domestic participants would if they used the Toll Dial-in Number . International toll free service is available but must be scheduled at least 1 week in advance and can be quite expensive.

Will I hear a difference in sound or voice quality?
Summit Conference uses the industry's highest quality conferencing bridges. Conference calls should sound as good as any long distance call. You should never have a sound or voice quality issue with Summit Conference. We use the same long-distance carriers that you do. Cell phone connections may affect the quality of your call; this is out of our control.

Do you offer a Premium Service?
Summit Conference is a full service teleconferencing firm. If you need operator-assisted calls, Webcasting, Web conferencing, transcription services etc. then Summit is right for you. Call us toll-free at (800 906-4290 x3) for more information.

Do you offer Web conferencing?
Summit Conference calls work with all of the major Web and data conferencing services. We offer Web conferencing from Start Visuals. We also WebEx, etc. We would be happy to give you pricing and specifics for any collaboration service that you are currently using or considering.

Can I use Web conferencing without a Summit Conference Service conference call?
No. Our Web conferencing tool, Start Visuals, works fine with any conference call. Call us toll free at (800 906-4290 x3) and we can usually have your account set up and running in a matter of minutes.

My conference call is at 10:00 AM Eastern time. What time is this in the Pacific (and other) time zone(s)?
